1. Introduction

This privacy policy explains how CoHeal Northern Lights (CNL) use the personal data we collect from you when you use our website or book an appointment with us.

CNL take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with the general data protection regulations (GDPR) outlined in this data protection declaration.

We would like to point out that any data transmission on the Internet (e.g. when communicating by e-mail) can have security gaps. A complete protection of the data against access by third parties is not possible.

Our privacy policy will be updated regularly so please check back for any updates. You can see the version control at the bottom of the page.

2. What data do we collect?

CNL collect the following data:

  • Name (First name and Surname)

  • Phone number

  • E-mail address

  • Reason for booking

  • Whether Healee is unconscious or hospitalized

  • Whether English is spoken

  • Photo of the Healee

  • Appointment dates, cancellations and no shows

  • Agreement to terms and conditions

  • Cookies

  • Follow-up survey data (with consent)

  • Zoom display name

Please note that we need consent from the Parent / Guardian to book any appointments for any children aged 17 and under. The parent / guardian also has to be present at the online zoom meeting for any children aged 17 and under.

3. How do we collect your data?

You directly provide CNL with all of the data requested on a voluntary basis. We collect data and process data when you:

  • Book an appointment

  • Email us or use our contact form

  • Voluntarily complete our follow up survey (with consent)

  • Use or view our website via your browser’s cookies.

4. How will we use your data?

CNL collect your data so that we can:

  • Process and manage your appointments

  • Email and/or send text message to confirm your booking

  • Remind you of upcoming appointments and send you zoom meeting details

  • Collect survey data for research purposes and to improve our practice

  • Share your survey data with Encephalon with consent

  • Process your photo for the online zoom meeting

  • Share your photo with our members to prepare for the online zoom meeting

Encephalon collect survey data from our Healees on a voluntary basis. The data is sent directly to Encephalon who stores the information on Google Drive. Only staff members who have signed an NDA can access the information on Google Drive. All data is always anonymised before being shared outside of the Google Drive with the Authorized groups for example.

Please note that by completing the survey form you are agreeing to your data being transferred to United States of America where the data protection laws may be different to your country.

5. How do we store and retain your data?

CNL store your data in the following places:

Squarespace scheduling
All appointment data including name, contact details, photo and details of Healees are stored securely in our booking system; Squarespace scheduling. We store appointment data for as long as you are actively using our service. We delete your information after an inactive period of 12 months where you have not booked any further appointments for us. The information is bulk deleted from within the booking system once a year.

Koofr Cloud Storage
Your photo along with your first name is transferred to a slide that is stored on Koofr Cloud Storage for use in the online zoom meeting. Your photo is shown on screen during the duration of the online zoom meeting. The slides with the photos and names are deleted from Koofr Cloud Storage 1 week after your appointment has taken place. The trash folder is deleted after 30 days.

Telegram
Your photo is shared with our members via a group chat on Telegram. The photos are deleted immediately after your appointment has taken place.

Zoom
We use zoom during the Coherence Healings. These sessions are not recorded and are therefore not stored.

6. What are your data protection rights?

CNL would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to request CNL for copies of your personal data.

The right to rectification – You have the right to request that CNL correct any information you believe is inaccurate. You also have the right to request CNL to complete the information you believe is incomplete.

The right to erasure – You have the right to request that CNL erase your personal data, under certain conditions.

The right to withdraw your consent if our processing is based on this – You have the right to withdraw your consent at any time that you have given for a certain data processing. A withdrawal does not affect our legal right to process the data before the consent was withdrawn. If you are aged 17 or under, the parent / guardian must withdraw the consent.

The right to restrict processing – You have the right to request that CNL restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to CNL’s processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that CNL transfer the data that we have collected to another organization, or directly to you, under certain conditions.

If you make a request, we have one month to respond to you. If you would like to exercise any of these rights, please contact us.

7. Cookies

Cookies are text files placed on your computer to collect standard Internet log information and visitor behaviour information. When you visit our website, we collect information from you automatically through cookies.

Cookies do not damage your computer and do not contain viruses. Cookies serve to make your visit to our website more user-friendly, effective and secure. Some of the cookies we use are “session cookies” which will be automatically deleted at the end of your visit. 

Other cookies remain stored on your end device until you delete them. These cookies enable us to recognize your browser with your next visit. 

You can set your browser so that you are informed about the setting of cookies and only allow cookies in individual cases, exclude the acceptance of cookies for certain cases or in general and activate the automatic deletion of cookies when the browser is closed. 7.1 What types of cookies do we use?

CNL use the following types of cookies:

Functional cookies - these are cookies that are essential to the basic functioning of our website so that visitors can navigate and use key features on your site.. They help to provide a seamless and personalized user experience by remembering users' preferences and settings. These cookies are necessary for our website to run properly. If you decide to turn these off some features may not work properly for you.

We do not use any analytics or performance cookies on our website.

7.2 How to manage cookies

You can set your browser not to accept cookies, and the above website tells you how to remove cookies from your browser. However, in a few cases, some of our website features may not function as a result.

You have the right to make a complaint at any time to the Danish Data Protection Authority (DDPA) if you feel CNL have not addressed your concern in a satisfactory manner using the contact details below.
